General Questions

Why choose Perfect Event Agency?

We are perfectionists, our team pays extreme attention to details. You can trust Perfect Event Agency to provide beautiful and unique wedding ceremonies, vow renewals, commitment ceremonies. We have provided you with beautiful beach/Garden wedding packages — to create the the ceremony of your dreams! Packages are customizable, just ask our team!  Our goal is to meet your needs and your budget.

What types of events do you host?

Weddings, vow renewals & commitment ceremonies are our favorite! And don’t even ask, yes (!), of course we do same sex weddings!

Perfect Event Agency provides services to plan, organize and design Corporate Events, including Conferences, Meetings, Galas, Product Launches. Secret Parties are always fun to work at. 

How soon should we plan/reserve our Florida Beach Wedding date and package?

You should consider reserving your Wedding Date as soon as you are engaged. We can also help you with your engagement party!

Keep in mind: Weekend ceremonies are the first to fill up especially during the Wedding Season in Florida, often a year in advance. To avoid the crowded places and the heat we prefer to work, mornings & evenings on weekdays. Even most of our events we book in advance, do not hesitate to ask if you need to get emergency married. We have growing team of professionals and sure can squeeze you in, even with a short 3 day notice. Please note a non-refundable deposit will be required to hold the date!

How do we reserve our Florida Beach Wedding or Vow Renewal?

Once you choose the date, and your favorite package you can submit your deposit online or we would be happy to help with your reservation via phone or in person!

Please keep in mind that we can not hold your date until appropriate deposit is received. So we recommend putting the deposit as soon as you are sure you want to get married in one of the Florida Beaches with help of Perfect Event Agency! As soon as the payment is received we will send you legal documentation (Service Agreement and a wedding information sheet) Via email/mail or we will have it ready to sign in person if you happen to be in the area.  

Is it possible to meet with our Wedding Planner prior to the wedding day?

We don’t sit still, we travel across South Florida, and out of state but – Yes, we would love to find time to meet you prior your Wedding day! Our goal is to make every Ceremony custom, based on your taste and budget even if you stick to pre-set ceremony packages. We want you to feel not only each other’s love, but also ours! So when you are in the area, we will make sure to organize a meeting with your assigned event planner to feel the love and exchange ideas!

How do we pay for services?

When you reserve date and time, a non-refundable 50% deposit is required. Since we work with many couples from around the US, PayPal seems easy for everyone. We also accept credit cards, checks and cash. We recommend to pay final balance 30 days prior to your event in full to avoid  $50 per day late fee.

Beach Wedding Ceremonies

How do we pick the location for our beach wedding?

The location is your choice, but we have our favorites, just ask for a suggestion! We go to most beaches, County/ State Parks, some hotels  (with hotel approval), condos and beach houses in South Florida. As we said we serve 200 mile east coast from Vero Beach to Miami Beach with no travel fee, so travel fees may apply for “out of the area”. The fee will be based on the requested service and the area.

We hope you already noticed we don’t include Location Permits in any of our Packages. If you choose a location that requires a Special Use permit, please send a separate payment with a specified information. We will take care of the permit application and will have it ready for your big day once the payment received.

How to choose Florida beaches for a Ceremony?

Perfect Event Agency serves South Florida and Beyond! We cover 200 miles of beach in South Florida – from Miami to Vero Beach (no extra charges) including Jupiter, Juno Beach, Singer Island, Palm Beach, Ocean Ridge, Boynton Beach, Delray Beach, Boca Raton, Deerfield Beach, Pompano Beach, Lauderdale-By-The-Sea, Fort Lauderdale, Hollywood,  and Hallandale Beach, Sunny Isles and Miami Beach. Other locations in South Florida may result travel fee. But we think it worth it! Visit our locations page for full listing of beach South Florida beach wedding locations.

Best time to have a Florida Beach Wedding?

Florida is a great destination place to get married,  while other states have winter, we have warm Summer. You start to see more and more beach weddings starting September, but the best times of year for Florida wedding weather are March through May and November through February!

Can we bring our own decorations for the beach?

No. Perfect Event Agency will provide all the decorations to make your special day a unique experience. You may bring guest favors, or order it with us from A La Carte options.

Will there be other people on the beach?

Yes, unfortunately for us all Florida Beaches are public. We will try our best to avoid photo-bombers in the background by suggesting time and locations, we feel more confident about. Our Photographers are very good about cleaning the beach out in post-production for the best shots.

Is there a permit required to get married on the beach or park?

We call it Small price for wedding in paradise. Although all South Florida beaches and parks are public; permission is sometimes required through a permit process.

We’ll get the permit for you and you pay the tab. Ask us about your options!

Can you provide your services at the location where we are staying?

It Depends on the location! Most likely you will need to obtain permission from the hotel/condo or rental home owner.  Be sure to ask if there is an additional fee for the use of the park/beach for your wedding ceremony/reception.  Perfect Event Agency id not responsible for any “fees” that may be charged.

Who performs the ceremony?

We have a professional team of Florida Notary Public or Ordained Reverend (female & male officiants). About a month prior your wedding date, your assigned officiant will call you to get to know you. After this point we will create your custom ceremony plan and email you the first draft.  If you would like to have Religious or bilingual officiant for your Wedding, please ask for availability and additional fee.

What will the ceremony consist of?

Based on the package you choose we provide design and decoration. We prefer casual, thoughtful and romantic exchange of your chosen wedding & ring vows followed by up to two optional and complimentary ceremonial rituals of your choice. The Sand Ceremony is the most popular in South Florida, allows couples to scoop sand from the beach, and colored sand and pour it into a glass keepsake, symbolizing your union. The Blessing Stones is the second popular which includes the couple and their guests, all toss the stones in the water after pronouncement as a gesture of good wishes. We have more unique traditions and ceremonies to choose from, based on your religion, beliefs and personal tastes.

Do you provide chairs?

Yes, we do have chairs available for selected packages with a limit within each package, you may upgrade your package to extra chairs, use of benches with cushions or big pillows BOHO style instead. (Consider older crowd might not be comfortable with the pillows on a ground, but it looks awesome!).

Can we include children, friends or family in our ceremony?

Yes, if you wish and it is always fun to have a little flower girl open the ceremony. Let us know in advance so we can incorporate it with the ceremony timeline and coordinate it with the officiant for a smooth ceremony.

Can we use our own Officiant for the Ceremony?

Yes, but please note: your officiant will be responsible for writing your ceremony and signing your license. We require a minimum of 60 days notice. We will deduct a 100$ fee from your package. The 100$ fee also include a choice of Creative Wedding Rituals.

If you still wish to have these rituals with your own officiant and/or less than 60 days notice is given, discounts are not available.

Can we bring 3rd party vendors to the wedding on the beach?

In most cases we will allow certain Vendors to participate in your Wedding day. Live Musicians for example, or a photographer/videographer, cake supplier or a cater. A written notice should be given to us within a minimum of 30 days if you hire 3rd party vendors for your ceremony. Without a proper notification, It may result in complications and/or delays at your wedding day. We are not responsible for accomodation of the 3rd party vendors, such as caters/ cake vendors (we will not provide a table, silverware or plate etc).

Do we need to meet before the ceremony?

We hope we will all find time to set up a meeting with you and your assigned wedding planner prior the wedding date. However due to the busy schedule we might not be able to afford it. Typically we will meet 30-45 minutes before the wedding, as many of you live out of state. But don’t worry, we will be on the phone for all your needs and questions.

For those of you lucky enough to live in Florida Paradise or happen to be on vacation, researching potential wedding venues and vendors, we encourage you to meet with us to feel the vibe and exchange ideas. Our Beach/ Garden Wedding Ceremonies are intended to be a simple process, so it will be easy to work out all the details via email and phone calls.

Are rehearsals included?

No, but you don’t need one. Beach weddings are simple and we plan it properly!

Wedding Photography & Videography

Can we hire your photographer for additional time?

If you feel like extended photo session or additional coverage of a wedding day (bride/groom getting ready or reception) we will be happy to book assigned photographer to spend extra time with you (meaning extra pictures). When booking with us, let us know your needs in any of these special sessions and we’ll send a quote to customize your package. It is no big deal if you decide to hire our photographer after you already signed a contract, just contact us within 30 days prior the wedding and we will secure your photographer for extra hours of coverage.

Can we hire your photographer for additional time?

Why do we need the copyright release?

Your wedding photographer owns the copyright to all your images. We provide you with the copyright release, which allows you unlimited personal use and reproduction of your pictures. However, You can not sell those photographs. We might also ask for your permission to publish images from your wedding on our Social Media pages or our website.

Can we bring our own photographer and can our Guests take photos during the event?

Yes you can! We suggest you either use our Professional Photographer or use yours. You do not want to mix them, as two complete strangers will be competing for same shots. “Which camera are we looking at?” – Everybody will be confused! In any case, if you decide not to go with our Photographer, we will remove this service from a basic ceremony package and provide a $200 discount with a minimum 60 days notice. If you Photographer will show up for a Ceremony without a notice, we do not guarantee best results of our assigner photographer. If you dismiss our photographer, we would like to get in touch with yours to coordinate date, time and location as well as timeline of the wedding.

 

We ask your guests to put all phones on silent mode, but we do permit them to take photos during the event. However we do not recommend them leaving their sets during the ceremony. It will interrupt your professional assigned photographer. You don’t want your friend’s head or a shoulder to be on your wedding photos as they are trying to take a photo with their camera. Let’s work together to provide your photographer with a comfortable environment without destructions, delays and interference! You will have plenty of time in your wedding dress to enjoy your guests company after the photographer leaves. Trust us!

Do you provide a videographer?

Videographers are not included in any of our packages, but you can request one with a minimum of 90 day notice. Call us for availability and pricing. Most popular video option is a highlight reel, prices starting at $450. You can hire your own videographer, but please let us know in advance for better on-day coordination.

Back-up Plan

How much trouble will I be in if I am late to my own wedding?

We are sure you would not do it on purpose. We will wait for up to 30 min with no consequences for you or your guests to arrive. Our team members realize how much stress you will be in and would not take this time away from the actual ceremony as many other companies will do. However, delayed start may result on an extra photographer’s/officiant fee (or any additional contractors for example live musicians). And keep in mind: the evening lighting may impact quality of photos. You may upgrade your package and pick additional services from our A La Carte Menu to insure smooth day (including transportation, makeup/hair, hotel booking). Consider having additional entertainment for your guests in case of the delay (hydration station/champagne bar, beach games for kids and more)

What happens if it rains on our wedding day?

We do Beach Weddings and unfortunately we don’t own venues, which means  we don’t have indoor space for you to use as a back-up plan. We can move the set up to the nearest park with a covered patio if available. If you feel it might rain, we suggest you to consider adding a tent to your package (big enough to cover ceremony area and all your guests, Plus hydration station/champagne bar and/or sweet bar). If none of those options are available the couple it responsible to have a backup location (hotel/condo etc)

 

Most of times it does not rain long enough, so don’t panic. If we or you are concerned, let’s coordinate the a few days before and day of your wedding so we can come up with a plan. Maybe rent a nearby villa/house for a stand by plan.  We might reschedule for a few days if everyone’s schedules allow us to do so. Remember, our priority is to marry you, with less stress and best memories!

Can we change our location ?

Most Likely! The more notice we have, the better chance we can accommodate you. Even if we have other event we are working on around the other locations or the venues are taken, we will try to do everything possible to better serve your needs. However change of Location may result in additional Permit Fees, which the couple will be responsible for and  $100 agency fee, payable immediately.

Can we change our package, add/remove services after initial reservation?

You may request changes to you booked package, it must be provided in writing at least 60 days prior to your Wedding date. We will then consider your request based on ability to accommodate. You may, however, add any services from our A LA Carte Menu within to 30 days before your event, via a email submission. Full price will be charges upon agreement. We will be happy to upgrade your Beach Ceremony with Hydration/Champagne Station or a cake mini reception or live music if not already included in you package. We can not downgrade the reserved package.

What if we have to cancel?

We have faith in you, and hope stress of planning a wedding/honeymoon won’t break real love. We will be very sad to let you go. With that being said all deposits and permit fees are non-refundable, if the event is cancelled.

Balance payments  will be considered for refund if written cancellation notice is provided and confirmed within 45 days prior to scheduled event.

Please Note: We can not provide a refund if Cancellation is made with less than 45 days’ written notice.

Do you coordinate and host receptions?

We do! We specialize in simple on-location receptions right after your beach/garden Ceremony, with extended photography. See A La Carte Options that include decorated Champagne Station/ Wedding Cake and Sweet bar/ live music for your first dance/ photo booth and many more options if your budget allows. Trust us, we get very creative if you give us a green light! And don’t hesitate to ask questions!

If you are looking to book a separate Venue with catering/Dj/ additional decoration this is considered as a a Full Service Wedding and will be discussed separately, based on a couples needs/budget.
